Documents

Travomate Cargo allows users to upload and share shipment-related documents directly within the platform. All stored documents are encrypted.

Supported Document Types

The following document types can be uploaded and attached to a shipment or conversation:

Document Description
Commercial Invoice Details the value, quantity, and nature of the goods being shipped
Packing List Itemised breakdown of the contents of each package or pallet
Bill of Lading Contract of carriage between the shipper and the carrier
Customs Documents Import/export declarations, certificates of origin, or other customs paperwork

Uploading Documents

Documents can be uploaded:

  • When posting a cargo listing (optional at listing stage)
  • During a conversation with a capacity provider via Messaging

Security

Encrypted storage

All documents uploaded to Travomate Cargo are stored with encryption at rest. Only the parties involved in a shipment conversation can access the documents shared within it.

Every upload and download is authenticated individually, so there is no unauthenticated access to a document, not even through a direct link.

Retention

Commercial documents are competitively sensitive, so it matters how long they are kept and who can see them.

  • Documents are retained for the life of the account and for a limited period afterward, so both parties keep a record of an agreed shipment.
  • Some documents (for example invoices) may be retained longer where law requires it, even after account deletion.
  • On permanent account deletion, documents are removed except where a legal retention obligation applies.

Upload early

Uploading your commercial invoice and packing list when posting cargo reduces back-and-forth with providers and speeds up booking decisions.

Customs documents

Requirements vary by country and cargo type. Ensure you have the correct customs paperwork before your ready date to avoid delays.
